How Bedspot handles your information

When you message us about your stay you are talking to Spot, our assistant. This explains what we know about you, who else sees it, and how long we keep it. It is short because we hold very little.

Who we are

VLF Tourism Investment Greece IKE, operating the Bedspot properties in Astypalaia, Paros, Santorini and Heraklion, is responsible for the information described here. Contact us about anything on this page at info@bedspot.gr.

What we know about you

Almost all of it comes from your booking, passed to us by the platform you booked through. We do not ask you for it and we do not build a profile of you.

WhatWhy we have it
Your nameSo we know who we are talking to, and which booking is yours
Your booking reference, room and datesTo answer questions about your own stay and nobody else's
Your door PINTo let you into your room. Stored encrypted.
The messages you send usTo answer them, and to keep the thread of a conversation. Stored encrypted.
Photographs you choose to sendTo understand a problem you are reporting. Not kept — read once and discarded.

What we do not have

No card or payment details. No passport or ID number. No date of birth or nationality. Not even your email address or telephone number — we reply in the app you messaged us from, so we never need to store it. We do not track your location, and we do not use cookies to follow you anywhere.

Why we are allowed to hold it

Our staff and accounting systems are separate

Our employment records and our own accounts are kept in different systems, on different databases, which Spot cannot reach and which contain nothing at all about guests. Nothing you tell us goes near them.

Spot is an assistant, not a decision-maker

Spot drafts replies and can carry out simple tasks — sending you your booking details, or opening a door for a guest who has been verified. It does not make any decision that has a legal or similarly significant effect on you, and a member of our team can step into any conversation at any time.

Before Spot gives out anything private — your door PIN, the WiFi password, your booking details — it confirms who you are first. If you would rather deal with a person, just say so and we will take over the conversation.

Who else sees your information

WhoWhat they see, and why
An AI language provider To write a reply, your message and your booking details are sent to an AI service. Your door PIN and WiFi password are never sent — they are added to the reply afterwards, on our own systems.
WhatsApp or Telegram Whichever you messaged us on. The conversation travels through them because that is the channel you chose.
Our property system Holds your booking. We read from it; we do not add anything to it.
Our lock provider Your name, room and PIN, so the door opens for you.
Microsoft Our staff email, which carries extracts of guest messages to the team, and our encrypted backups.
Our own team Only the staff working at your property, and only what their role needs. Every time a member of staff opens a door or looks up a PIN, it is recorded.

We never sell your information, and we never use it for advertising.

How long we keep it

WhatKept
Your booking details, PIN and our conversation Two days after you check out, then permanently deleted — automatically, every hour, whether or not anyone remembers
If you asked us to keep the conversationUntil you ask us to remove it
Records of staff actions on your roomUp to one year
BackupsEncrypted; the last 7 days locally and the last 4 weekly copies offsite

Deleting your information from our live system happens straight away. Backups are sealed copies that we cannot edit, so anything already inside one disappears as that copy ages out on the cycle above.
